Terms of sale
Order terms, payment, delivery, warranty, right of withdrawal. Compliant with Belgian law.
Last updated : 2026-05-06
Version of 28 April 2026. These Terms & Conditions of Sale (T&Cs) govern the relationship between the ASBL Productions Associées (BE 0896.755.397, hereinafter « K7 Forever ») and any individual or legal entity (hereinafter « the Customer ») who places an order for digitization services through the site k7forever.be.
1. Object
K7 Forever offers analog-to-digital services (video tapes, audio cassettes, vinyl records, photos, negatives, slides), in-house and via specialized sub-processors. The detail of services, tiers and prices is on the service pages and in the online shop.
2. Order and acceptance of T&Cs
The order is validated upon receipt of the deposit. Any order implies full and unreserved acceptance of these T&Cs. The Customer acknowledges having read the T&Cs before validating their order.
3. Prices and taxes
All prices on the site are in euros (EUR), 21 % VAT included. Any shipping fees are calculated in the cart based on the chosen shipment method.
4. Payment terms
- Deposit: 50 % of the total at order, charged through the Mollie, Stripe or PayPal gateway as you choose
- Balance: remaining 50 %, due before delivery of the digital file (download unlock) or before shipment of the physical medium
K7 Forever stores no bank card or payment account data at any time (see privacy policy).
5. Turnaround
- Video and audio (cassettes, vinyl): 3 to 4 working weeks from receipt of the medium
- Photo: 4 to 6 weeks (specialized partner sub-processing included)
- Express (video/audio): 10 working days, fixed surcharge
These turnaround times are indicative. K7 Forever does its best to meet them, but cannot be held responsible for a reasonable delay tied to an unforeseeable event (capture-equipment breakdown, temporary unavailability of a sub-processor, force majeure).
6. Delivery
Depending on the method chosen by the Customer:
- Cloud download: secure link sent by email after balance payment, valid 90 days
- USB stick or hard drive (provided by K7 Forever): Bpost shipment to the address given at order
- Medium provided by the Customer: Bpost return
- In-person pickup: by appointment
Bpost delivery times are added to the production turnaround indicated in section 5.
7. Return of originals
Submitted originals (tapes, records, photos) are systematically returned to the Customer at the end of the service, in the same packaging the Customer provided. K7 Forever keeps no original after digitization.
8. Right of withdrawal — exception for personalized services
Pursuant to article VI.53, 13° of the Belgian Code of economic law, the 14-day right of withdrawal does not apply to services fully performed at the Customer’s express request when the service is clearly personalized (digitization from the Customer’s own media).
Consequently: once digitization has begun (capture of the first medium of the order), the service is deemed performed at the Customer’s express request and the right of withdrawal ceases to apply. Before this moment, and as long as K7 Forever has not begun processing your order, you can cancel by simple email and obtain a full refund of the deposit.
9. Technical risks and limitations of liability
Digitizing old media carries inherent technical risks:
- A tape or record may turn out to be unreadable, degraded or broken at playback time, regardless of the care taken
- Oxidation, thermal deformation, or coalescence (sticking of the tape) can make capture impossible or of reduced quality
- For very old media (home-movie films, glass photo plates), a minor risk of further degradation exists during handling
Before any risky handling, K7 Forever informs the Customer and seeks their consent. K7 Forever applies all reasonable care (calibrated equipment, handling by an experienced operator, controlled environment), but cannot guarantee a result on physically degraded media.
For unreadable media despite reasonable efforts, K7 Forever fully refunds the service (deposit included).
10. Satisfaction guarantee — re-processed for free or refunded
Beyond the legal exception to the right of withdrawal for personalized services (article 8), K7 Forever voluntarily offers a satisfaction guarantee that goes beyond legal obligations:
- You have 14 calendar days from delivery of the digital file (cloud link send date, or hand-over / shipment date for physical media) to assess the result.
- If the result does not meet your reasonable expectations, contact us by email at contact@k7forever.be with a short description of what is not working.
- Your choice: (a) we re-run digitization for free, adjusting the parameters (tier, denoise, calibration); (b) you get a full refund of the service (deposit + balance), returned within 14 days to the original payment method.
This guarantee does not cover intrinsic limitations of the source medium, where these were communicated to the Customer beforehand (physically damaged tape flagged on arrival, scratched record, faded photo). In these cases, we always deliver the best possible result given the medium’s condition, properly documented.
No detailed justification or complex form is asked: an email explaining in a few sentences what is wrong is enough.
11. File retention
The detailed retention periods for digitized files (90-day cloud delivery, 30-day backup copy for physical delivery) are documented in the privacy policy. The Customer is advised to download and back up files as soon as they are received; past the indicated periods, K7 Forever no longer holds the file.
12. Force majeure
K7 Forever cannot be held liable for non-performance or delayed performance of its obligations in case of force majeure (lasting failure of a key piece of equipment, prolonged sub-processor unavailability, disaster, etc.). In such case, K7 Forever informs the Customer as soon as possible and offers, depending on the situation, a service postponement or a refund.
13. Complaints and mediation
Any complaint should be sent by email to contact@k7forever.be. Failing an amicable resolution, the Customer may refer the matter to the Consumer Mediation Service (see legal notice).
14. Governing law and jurisdiction
These T&Cs are governed by Belgian law. Belgian courts have sole jurisdiction in case of dispute.
