Process & timingHow long does digitization take?
3 to 4 working weeks for video and audio (cassettes, vinyl), 4 to 6 weeks for photo (which goes through our specialized partner). The clock starts when your media physically arrive. An Express 10-day option is available for urgent video/audio orders.
Your dataWhat happens to my originals?
Your originals are always returned in the same packaging you provided, in the condition we received them. We keep no original after digitization.
Your dataHow long are my files available in the cloud?
The download link is valid for 90 days from delivery. After 90 days, the file is permanently deleted from our cloud storage (Backblaze B2). Download and back up your files as soon as you receive the link.
Your dataWhat if I lose the file after those 90 days?
After 90 days, we no longer have the file (effective and irreversible deletion). We can re-digitize the medium if you send it again — that would be a new order at standard rate. This is precisely why we insist on downloading and backing up files in the weeks following delivery.
PaymentHow does payment work?
50% deposit at order, balance due before delivery of the digital file (download unlocks) or before shipment of the physical medium (USB, hard drive). We accept Bancontact, bank cards, and PayPal.
Special casesWhat if my tape is broken or unreadable?
We assess every medium on arrival. If clearly damaged (broken case, cut tape, cracked record), we contact you before any handling. Depending on the case: simple repair (rewinding, case replacement, tape splice) at extra cost, complex repair on custom quote, or full refund if irreparable (deposit included).
Process & timingCan I drop off my media in person?
Yes, by appointment. Contact us at contact@k7forever.be to arrange a date and place. Pickup within 20 km of Brussels is also available (€0.50/km, minimum €5).
PaymentI cannot pay online — what now?
Online payment (deposit) is required to validate the order. If that is an issue, contact us — we can study case-by-case alternatives: bank transfer, or payment on hand-over for in-person drop-off.
Your dataMy content is sensitive or intimate — who has access?
For in-house services (video, audio cassette, vinyl), only the K7 Forever operator handling your order accesses your files. For photo, our Belgian partner accesses strictly the media needed for digitization, under a GDPR sub-processing agreement. Your files are not indexed, not shared with third parties, and not used for marketing or AI training. Details in our GDPR policy.
Your dataDo you keep a copy just in case?
A temporary backup copy is kept for 30 days after physical delivery (USB or hard drive), to cover loss-in-transit. For cloud delivery, the duration is 90 days (the lifetime of the download link). After that, definitive and irreversible deletion. You can request earlier deletion at any time.
Special casesDo you work with companies or institutions?
Yes. We regularly handle archives from associations, small cultural institutions, and private corporate archives. For larger volumes (50 media or more), contact us for a custom quote.
